Executive Board Meeting Minutes

10:00 a.m., October 3, 2007
Brickhaven Building, Raleigh NC

Members Present: Rhonda Sherman, President; Christine Barrier, President-elect; Cathy Brown, Secretary; Bill Ellers, Treasurer; Susan Condlin, Past-President; Hazel McPhatter, NCAEPAAT; Danelle Barco, NCAE4-HA; Renay Knapp, NCEAFCS; Stanley Holloway, NACAA President-elect; Karen Wicker, NCEAFCS.

The President determined a quorum with at least one representative present from each member association. Each member introduced themselves.

The minutes of the Executive Board meeting, March 2, 2007 at Brickhaven were read and approved.

Bill Ellers presented the Treasurer’s Report. It was accepted with no corrections. A copy was attached to the Minutes.

Unfinished Business

Field Faculty Admission to the Faculty Senate

Rhonda contacted Faculty Senate President Nina Allen several times and continued discussions with the new President, Jim Martin. Martin said that for the past year, the Senate has been considering changing their rules for membership. A few days ago, the Senate sent an email to NCSU faculty with their proposed bylaws changes, and invited discussion at their Faculty Senate meeting this afternoon. One of the proposed changes to their bylaws is to ‘exclude’ field faculty from membership in the Senate.

After discussion, we decided to invite a CALS Faculty Senator to speak with the Federation Board at the March 2008 meeting about the Faculty Senate.

Utilization of Federation Brochure

We discussed how to make the Federation brochure, that was created in March, more widely available. We decided to post it to the Federation website.

Leadership & Service Recognition Award

Christine Barrier introduced the Leadership & Service Recognition Award, which she has been developing. Nominations will be due November 1, 2007. We will post this to our web site. The one recipient of the award will receive a certificate and a $50.00 gift card. Time will be allotted on the Federation Forum agenda to give out this award. A motion was made and accepted to adopt this new award.

New Business

Concerns and Issues for the Federation Forum

We brainstormed concerns and issues to be addressed by Administration at our annual Federal Forum in December. Rhonda will query Association Presidents for more concerns to be submitted to Administration.

Concerns and Issues Discussed:

  • The cost and expectation to attend the Summit while not knowing our travel allotment
  • Not finding out until October our travel allocations
  • Title change from Agent to Educator

Money for the Federation Forum

Each year, the NC Soybean Association contributes money to cover the cost of meals at the Federation Forum.

Notification of Federation Forum as Written in the Policy & Procedures

Motion accepted to change Policy and Procedures: President-elect will send invitations to Federation Forum instead of Treasurer.
Federation Forum will be held December 14, 2007 at the North Carolina Research Campus, in Kannapolis, NC.

Agenda for Federation Forum

After a tour of the NC Research Campus, Peter Gilmore with Dole Foods will speak about the purpose of the campus, followed by Administrative Update, lunch, and the business meeting.
