October 1 – First Day of Office!

Become VERY familiar with the NCCEAPA Handbook and deadlines as well as the district procedures and district officer working papers.

The President will preside over all meetingsSample Template Forms for Meeting Agendas can be found on the Northeast District section of the website.

Work with new Treasurer if needed to contact Bank to enable new Treasurer to conduct business transactions of the district association. 

October – Fiscal year of the Association is October 1 through September 30. We install officers at the spring meeting to take office October 1 of the same year. This gives the incoming President time to select a Parliamentarian and plenty of time to be preparing to establish district committees as soon as possible in early October. Out of respect for the State President, do not wait for the fall meeting to establish your committees. As soon as possible, establish the district committees and e-mail committee chair names (and their counties) to the new state President. Also e-mail the list of district officers to new state President.

Provide both the officers list and the full committee lists to the district webmaster for posting to the district web page.

October – November – Look for emailed information on North Carolina Joint Council of Extension Professionals (NCJCEP) forum/annual meeting. This meeting is usually around the 1st Friday of December. NCCEAPA should have 10 representatives from across the state present at this meeting to conduct business. NCCEAPA bylaws (Article IX Section 1) states who are the NCCEAPA representatives on the Board of Directors to the NCJCEP (President and 1st VP); and Section 2 states who the delegates for the forum should be. District President should attend this meeting.

Schedule district meetings for spring and fall. The NE District rotates meeting locations by county alphabetically. Check county rotation and work with host county to prepare for meeting. Develop agenda, send to NED officers for edits, and have approved by DED at least 2-4 weeks before meeting.

Executive Board meetings can be called when necessary during the year via email, Zoom, computer, telephone, or in person.

May 1 – Send email to district members requesting updates to State Officer Eligibility list. Send updates to state webmaster to update web page. 

Deadlines for Awards: Remind members of these deadlines.

August 1 

  • Nominations for Executive Board Award due to state 1st VP 
  • Nominations for State Officers due to State Nominating Committee Chair 
  • Nominations for Professional Improvement Award due to state PI Committee Chair 
  • Nominations for Sue Mills Lighthouse Award due to State President

September – Look for information on the Foundation meeting right around state meeting time. 

Late September – STATE MEETING – District President’s role changes a bit when NE district hosts the state meeting. 

Try to be on top of when things are due and who they are due to. Of course, you will edit this list as needed. Don’t stress over not being able to be everywhere all the time! Just be professional and do your best! 

Rely on your Parliamentarian for procedural issues.
